Loves coordinating, communicating, and organizing. The World Species Congress is an incredible event connecting and inspiring biologists, ecologists, government agents, scientists, practitioners, and supporters of species conservation from more than 200 countries and territories. This person will be sending invitations, communications, and instructions to the hundreds of partners, speakers, and colleagues associated with the Congress. This person loves organising details, keeping track of decisions and progress with accuracy, and making sure that information is communicated and accessible across the team. They should be self-motivated and very regimented in how they approach and complete tasks. This person should like working with a team and helping to execute a big vision and where possible assist in growing and developing ideas to deliver impact in bigger and better ways.
Logistics:
This is a 14 month contract: Ideally starting in May 2026 and will run through July of 2027 with specific dates to be determined.
The position will be part-time at roughly 20 hours per week.
This person must have flexible availability since we work in all time zones. The primary team you will work with will be aligned with north and south american time zones.
Must be fluent in English.
Must be competent in Google Online Suite (Sheets, Docs, Gmail, etc)
This position will pay $18-25 USD/hour based on skill and experience.
Foundational Responsibilities:
Coordinating and executing tasks in alignment with the strategy provided for the World Species Congress from the Reverse the Red Governing Council and the direction provided by the Reverse the Red Strategy Director.
Supporting the Reverse the Red World Species Congress Team
Administrative Support
Set up and coordinate task force regular meetings (bi-weekly or more frequent as needed)
Take and distribute all notes
Track action points and follow up with team members to complete in a timely manner
Coordination of Event Speakers
Following up with invited speakers, sending reminders when needed on a regular basis.
Managing tracking databases to be current and accurate
Communicating logistics and detailed information with speakers
Setting up technology checks with live speakers
Organizing pre-recorded videos
Coordinating with the production team as necessary
Coordinate speaker bios, headshots, and other relevant information
Coordination of Moderators
Keeping all moderator information organized and current
Communicating key information to moderators
Coordinating technology checks
Run Of Show
Support the RtR World Species Congress team to coordinate and manage the Run of Show document.
Satellite Events
Assist in coordinating information related to satellite events.
Manage a data set of satellite events, points of contact, and relevant details
Communicate key information to satellite event host organizations and contacts.
Coordinate any pre-recorded or live broadcasts from satellite events with the production company.
Answering Questions
Be the primary point of contact for any inquiries that come into the general World Species Congress email.
Answer frequently asked questions and pass more complex questions along to relevant RtR World Species Congress Team members.
Reporting
Track relevant demographic information of speakers such as (country of origin, taxa represented, gender, etc)
Track relevant demographic information of attendees, track viewership
Track information and final impact data from satellite events
Required Skills
Have assisted and/or coordinated at least 4 speaker-based events, virtual event coordination preferred.
Have successfully worked remotely and independently for at least 2 years.
Strong communication skills
Proactive and self-motivated
Organized
Able to work in a cross-cultural team
Google Suite (Docs, Sheets, etc)
Ability to use Microsoft Teams, Zoom, and other collaboration tools
Additional Skills Desired:
Basic or fluent in Spanish, French, or other languages
Social Media and communications skills
Additional work, hours, and compensation may be negotiated for an individual capable of assisting with other RtR communications as directed by the RtR Outreach and Engagement Coordinator.
